Cape Cod Healthcare is the leading provider of healthcare services for residents and visitors of Cape Cod.  With more than 450 physicians, 4,700 employees, and 1,100 volunteers, Cape Cod Healthcare operates two-acute care hospitals, the Cape's leading provider of homecare and hospice services (VNA), a skilled nursing and rehabilitation facility (JML Care Center), an assisted living facility (Heritage at Falmouth), the Cape's only local laboratory service (CCHC Laboratory Services) and numerous health programs.  We are currently seeking a dedicated Administrative Assistant to join our team at Cape Cod Healthcare.

 

PURPOSE OF POSITION:

 

Provide administrative support to the Senior Vice President of Managed Care and the Vice President of Special Projects & System Integration; assist the CCHN department by performing a variety of administrative and support functions.

 

MAJOR ACCOUNTABILITIES:

 

  1. Schedules and maintains appointments and calendars for the Senior VP or Managed Care and Vice President of Special Projects & System Integration.

 

  1. Schedule meetings, conference calls, and travel as required.

 

  1. Assist Senior VP with development of presentations to various internal and external audiences.

 

  1. Assist with the preparation of committee meetings, taking minutes and recording minutes as required and provides backup when required.  

 

5.      Handle all the administrative functions related to the Credentialing of the various CCHC facilities and entities throughout the system, preparing packets for signature of SVP Managed Care.

 

  1. Perform purchasing and accounts payable processing.

 

  1. Greet visitors to the office.  Answer inquiries and provide assistance and direction.

 

8.      Orders supplies and maintains equipment for the Administrative Offices.

 

  1. Receive and open mail, sort and forward to appropriate persons.  Sort and distribute faxed material.

 

10.  Provides administrative support to all CCHN staff as requested in an efficient and timely manner.

 

  1. Schedule, attend and take minutes at meetings, as required.

 

  1. Answer phones for CCHN offices as required.

 

  1. Ensure confidentiality of all patient and employee information.

 

  1. Handle confidential information concerning hospital and corporate matters, physicians, visitors, employees and patients in a professional manner. 

 

  1. Assumes accountability for all assigned projects. Communicates effectively with Director on all project activity in timely manner.

 

  1. Perform other work related duties as assigned or requested.

 

17.  Work proactively and independently on assigned projects; including database management, preparation of presentation material, and documentation development (including letters and reports) as required.

EDUCATION/TRAINING/EXPERIENCE:

 

  • Skills and knowledge equivalent to two-year secretarial program or three to five years executive assistant experience, including automated systems and word processing. Four year degree a plus.

 

  • Medical terminology preferred.

 

  • Minute taking and transcribing.  Minimum typing 60 wpm.

 

  • Excellent customer service and communication skills.  Able to communicate effectively professionally with internal and external staff in person and on the telephone.

 

  • Excellent organization skills and ability to handle multiple projects simultaneously.

 

  • Good attention to detail, "numerically-oriented" and able to understand formulas.

 

  • Self-directed, able to maintain high level of creativity, dependability and enthusiasm.

 

  • Highly proficient in using the following:

Microsoft Outlook, Microsoft Word, Excel, PowerPoint.
